Top Tips for Planning your Holiday Party

Our favourite food-centric holiday is just a few months away and it’s time to start thinking about your Christmas party! Whether you’re in charge of the office celebration or looking to the entertain family and friends at home, here are a few things you’ll want to consider when planning the perfect Christmas party event.

Get The Ball Rollin’

First things first. Make contact with possible attendees as soon as possible. Ideally, months in advance. Even if the details haven’t been completely ironed out (such as the menu or location).  One of the best ways is to use Facebook Events where you can create a private group and set-up reminders. People can RSVP easily and quickly and you can send a message to your guests anytime. The holidays are usually a very busy time of the year for everyone and you want to make sure your holiday party gets onto their agenda.

Decisions, decisions…

Decide on the type of Christmas party you want and the location. Will it be a daytime, evening, weekday or weekend affair? Should you do the cooking yourself, go to a restaurant that specializes in holiday parties or simply have your celebration catered at home or the office? Whatever you decide, catering your Christmas party over the holidays is definitely one way to lessen the burden of shopping, preparing, cooking and cleaning.

Holiday Food

Everyone loves the holidays and great food. However, not everyone enjoys the time and energy spent in the kitchen to cook for a larger group. That’s why going to a restaurant that offers either a bespoke or packaged Christmas menu is ideal. I’d suggest contacting your favourite restaurant and inquire about in-house dining options for your personal or professional event this Christmas.

Ready, Set… Reserve (small to medium-sized groups)

Now that you’ve made some calls and completed your research, you’ve decided to dine out, what next? Call your favourite restaurant. Confirm the number of guests in attendance. Ask about group menu and costs. Include any other pertinent details required to ensure the best possible experience for everyone such as wheelchair accessibility, highchairs for toddlers, or a special request like gluten-free options. Finally, reserve your space immediately as you’d be surprised at how quickly others do.

Festive Catering (large-sized groups)

You did a comprehensive online search and decided on a caterer for your holiday party. A local restaurant that offers beverages and a selection of fresh and flavourful food. Options that are not only diverse but fully customizable to meet individual needs. Lastly, the restaurant has excellent and knowledgeable staff who will serve guests at your preferred site and help clean up afterwards – providing the event organizer(s) with more time to schmooze, dance and be merry. But don’t delay, caterers often book-up faster than one might anticipate for the Christmas holidays, so better hop to it.

Tips for Success

You’ve chosen your caterer. The food and beverages are going to be amazing. Service impeccable. Now, here are some quick tips for making your event stand-out even more.

Remember to thank everyone involved in making your event a success. Thank-you’s are always welcome (especially around the holidays). If you are hosting a large event, have an itinerary of who will be speaking and what the evening activities will be and in what order.

If you have the budget, bring in some live entertainment such as karaoke, comedians, caricaturists or an after-dinner speaker. Themes are also all the rage these days. Why not set-up casino tables or go back to the future with arcade or air hockey games? And don’t forget the music. Let loose with a professional DJ who can get guests up and grooving. And most importantly, try to make sure your guests arrive home safely. Provide a list of phone numbers for different taxi services available in your city and circulate them in advance.

Congratulations

You brought together an eclectic group of individuals. Ones with a variety of food interests and tastes, yet you were able to provide a varied menu with the ambition that everyone would enjoy the wonderful catered food. It worked! Your job is complete and time for some rest and relaxation after all the great planning you did on this year’s holiday Christmas party.
